Make a Payment

Payments can be made towards fees or deposits as well as made towards fees from deposits that are associated to a case. Making a payment towards fees or deposits uses the same process in the Payment Manager window, but is accessed differently. Complete one of the following:

Paying Fees or Deposits

Open the Payment Manager window using one of the following:

Click the Make a Payment icon in the lower-left corner of the Fees or Deposits panels
Click the Add record icon in the upper-right corner of the Payment panel
Create a custom URL in the site menu

NOTE: For more information on creating a custom URL in the site menu, see the Configure the Cityworks Toolbar section in the Designer for 15.4 Guide. In the URL field, enter CWPermit/UF/Case/Page/CUFreceipts.aspx.

Payment and Receipt search tabs will appear.

NOTE: If you accessed the Payment Manager window using the Make a Payment or Add record icon, the Fees Search Form will automatically populate with the case information and the associated fees and deposits will appear below.

Search for fees or deposits to pay using the Fees Search Form. For more information, see Search for Fees or Search for Deposits.

NOTE: For information on searching for receipts, see Search for Receipts.

Select Fees Payment or Deposit Payment to choose whether you want to pay fees or make a deposit associated to a case.
Select the check box(es) next to the fee(s) or deposit(s) you want to pay. To pay all of the fees or deposits at once, select the check box on the far left of the panel.
Click Pay Now.

In the Add Payment panel, use the Lookup icon to choose the Tender Type, such as cash or check.

Select the check box(es) next to the payment method(s).
Click Submit.

The Paid amount defaults to the total amount of the fee(s) or deposit(s) selected, but the amount can be changed.

NOTE: If you selected more than one payment method, you can switch between the methods by selecting the one you want to view on the left-hand side of the panel, or by using the arrows at the bottom of the panel.

Use the calendar icon or double-click in the field to enter the Date Completed.
Select the View Receipt check box to view the receipt for the payment once the payment has been saved.
Enter a payment source, such as an internal purchase order (PO), in the Reference field.
Enter any additional Comment about the payment.
If you know who paid the fee(s) or deposit(s), click Payer Info. For more information, see Add Payer Information to a Payment.
Click Save.

NOTE: If you accessed the Payment Manager window using the Make a Payment or Add record icon, the Payment Manager window will automatically close.

The Fees panel on the Summary page will automatically refresh and show the remaining balance due.

The Deposit panel on the Summary page will automatically refresh and show the remaining deposit balance.

Using Deposits to Pay Fees

You can make a payment towards fees using a deposit that has been paid.

PREREQUISITES:

A case must have a deposit associated to the case. For more information, see Add a Deposit.
The deposit(s) must be paid before being applied to fees. For more information, see the Paying Fees or Deposits section above.

Open the Payment Manager window using one of the following:

Click the Make a Payment icon in the lower-left corner of the Fees or Deposits panels
Click the Add record icon in the upper-right corner of the Payment panel
Create a custom URL in the site menu

Payment and Receipt search tabs will appear.

Search for fees or deposits to pay using the Fees Search Form. For more information, see Search for Fees or Search for Deposits.

NOTE: For information on searching for receipts, see Search for Receipts.

Select the check box(es) next to the deposit(s) in the Deposit panel that you want to apply to the associated fee(s) in the Fees panel.

Select the check box(es) next to the fee(s) you want to pay with the selected deposit(s).
Click Apply Deposit.

NOTE: If you do not have any deposits selected and click Apply Deposit, you will receive an error message.

The Payment Manager window will refresh and show any remaining fee(s) or deposit(s) that were not selected or that were not paid by the applied deposit(s).

The Fees panel on the Summary page will automatically refresh and show the remaining balance due.

The Deposit panel on the Summary page will automatically refresh and show the remaining deposit balance. For more information on viewing fees paid by the deposit, see View a Deposit.
